How HouseMate collects, uses and protects your information.

1. Who we are
HouseMate is a UK home-buying guidance tool. We help people understand their documents, see what to do next, and feel calmer while buying a home.
For the purposes of data protection law, HouseMate is the controller of the personal information you provide directly to us.

2. Information we collect
We collect the following categories of information:
- Account information: your name, email and authentication details, managed through our authentication provider (Supabase).
- Purchase journey information: your buying stage, property details, address/town/city, mortgage status and progress across solicitor, survey, searches, exchange and completion.
- Uploaded documents: surveys, solicitor letters and emails, mortgage offers and other home-buying documents you choose to upload.
- Chat and AI interaction data: the questions you ask, answers and explanations generated, and document follow-ups.
- Subscription and billing information: Stripe customer and subscription IDs, your plan and payment status. We do not store full card details.
- Usage data: AI message counts, document review counts, timestamps and basic app events.
- Technical data: device/browser information, logs and IP address where available from our hosting and service-provider logs.
3. How we use information
We use your information to:
- create and manage your user account
- provide your dashboard and personalised next steps
- analyse uploaded documents and produce plain-English explanations
- respond to your Ask HouseMate questions
- save your progress and action statuses
- manage subscriptions and usage limits
- improve, debug and secure the service
- communicate service updates and respond to support requests
- comply with our legal obligations
4. AI and document processing
To provide document reviews and Ask HouseMate, some of your content is processed by third-party AI providers.
- Uploaded documents and chat messages may be sent to AI service providers, including OpenAI, to generate summaries, explanations and responses.
- HouseMate aims to send only what is needed to provide the feature.
- HouseMate does not sell your uploaded documents.
- You should avoid uploading documents you do not have permission to use.
- HouseMate provides general guidance, not legal, financial, mortgage or surveying advice.
We use API-based AI providers to process your requests. We do not intentionally use your uploaded documents or chats to train HouseMate models.
5. Lawful basis for processing
Under UK GDPR we rely on the following lawful bases, depending on the purpose:

7. International transfers
Some providers may process information outside the UK. Where this happens, we rely on appropriate safeguards used by those providers.
8. How long we keep information
We keep account, journey, chat and document review information while your account is active, unless you delete it or ask us to delete it. We may keep limited records where needed for legal, tax, security or dispute purposes.
This includes:
- uploaded documents and document reviews
- chat history
- usage counters
- subscription records
9. Your rights
Under UK GDPR you have the right to:
- access the personal information we hold about you
- ask us to correct inaccurate information
- ask us to delete your information
- ask us to restrict how we use it
- object to certain processing
- data portability
- withdraw consent, where we rely on it
- complain to the Information Commissioner’s Office (ICO)

10. Security
- access is controlled through user accounts
- we use reputable, secure service providers
- we apply reasonable technical and organisational measures
- no internet service is completely risk-free
11. Children
HouseMate is not intended for children under 18 and we do not knowingly collect their information.
12. Changes to this policy
We may update this policy from time to time. When we do, we will change the “Last updated” date at the top of this page.
